Privacy Policy

Toopics is a directory of Discord servers. We collect as little information as we can get away with, and this page explains exactly what we do collect, why, and how to get it removed.

The short version

  • There are no user accounts, logins or comment sections on Toopics, so we don’t hold profiles or passwords.
  • If you submit a server, we store the details you give us so we can publish the listing.
  • We ask Discord for public information about your invite link to show the server name, icon and member count.
  • Our hosting and Cloudflare keep standard server and security logs.
  • We use essential cookies only, plus possibly privacy-friendly analytics that don’t track you across sites.
  • You can ask us to delete a listing and everything attached to it at any time.

What we collect when you submit a server

When you fill in the submission form, we store what you type in:

  • Server name
  • Discord invite link
  • The game the server is for
  • Tags and category
  • Description
  • A contact email for the listing

The contact email is used for one purpose: to reach the person responsible for the listing. That might be to confirm a submission, ask about a broken invite, or follow up on a report. It is never shown publicly on the site, and we don’t add it to any mailing list.

Everything else in the form is intended to be public. That’s the point of a directory. Don’t put anything in the description or tags that you wouldn’t want visible to anyone.

What we fetch from Discord

Once a server is submitted, we look up the invite link using Discord’s public invite information. This is the same data anyone would see if they opened the invite in a browser. From that we display:

  • The server name
  • The server icon
  • The approximate member count

We may refresh this periodically so listings don’t go stale. We do not read messages, member lists or anything else inside the server, and we have no access to it. We also never see your Discord account details. If you remove or expire the invite on Discord’s side, our lookups stop returning data, and we’ll typically delist the server.

Discord handles those requests under its own privacy policy. We don’t control what Discord logs when we query an invite.

Server logs and Cloudflare

Like almost every website, our servers record basic request logs: your IP address, the page you requested, the time, your browser’s user agent string and the referring page. We use these to keep the site running, debug errors and spot abuse.

Toopics sits behind Cloudflare, which provides DNS, caching and protection against attacks and bots. Cloudflare processes your IP address and request details to do that job, and may set a cookie needed for its security checks. This is done under Cloudflare’s own privacy terms as our service provider.

We don’t use these logs to build profiles of visitors. They’re rotated and deleted on a short schedule, generally within a few weeks.

Cookies

We use cookies only where the site genuinely needs them to function. That currently means:

  • Security cookies set by Cloudflare to tell real visitors from automated traffic.
  • Possibly a cookie to remember a basic preference, such as a theme or filter choice.

There are no advertising cookies, no social media tracking pixels and no third-party cookies used to follow you around the web. Blocking cookies in your browser will not stop you from browsing listings.

Analytics

We may use a privacy-focused analytics tool to see which pages are popular and where visitors come from. If we do, it will be one that doesn’t use cookies to identify you, doesn’t collect personal data, and doesn’t share anything with advertising networks. We’re interested in whether a category is getting traffic, not in who you are.

If that ever changes, we’ll update this page before it happens.

How long we keep things

  • Listing details stay as long as the listing is live, plus a short buffer after removal in case the deletion was a mistake. After that they’re gone.
  • Contact emails are deleted alongside the listing they belong to.
  • Discord invite data is refreshed and replaced; old snapshots aren’t kept beyond what’s needed to display the current listing.
  • Server and security logs are kept briefly for operational reasons and then discarded.
  • Emails you send us are kept as long as needed to deal with your request.

Deleting a listing and its data

If you submitted a server and want it removed, contact us using the details on this site from the same email you gave when submitting, and tell us which server it is. That way we can confirm you’re the person who listed it. We’ll remove the listing and delete the stored details, including your contact email, within a reasonable time, usually a few days.

If you’re an admin of a server that someone else listed without your blessing, get in touch and we’ll sort it out. We’ll generally ask for something that shows you actually run the server, such as a message from the server’s official account or a temporary change to the server description.

Your rights

Depending on where you live, data protection law may give you rights over information about you. Regardless of where you are, we’re happy to honour the following for anyone:

  • Ask what information we hold about you or your listing.
  • Ask us to correct something that’s wrong.
  • Ask us to delete it.
  • Object to how we’re using it.

Email us using the contact details on the site and we’ll respond. We don’t sell personal information, and we don’t share it with anyone beyond the service providers mentioned above who are needed to run the site.

If you’re in the EU, UK or another region with a data protection authority, you also have the right to complain to that authority if you think we’ve got something wrong. We’d rather hear from you first so we can fix it.

Children

Toopics isn’t aimed at children, and we don’t knowingly collect information from anyone under 13. Discord itself requires users to be at least 13. If you believe a child under 13 has submitted a server or sent us personal details, contact us and we’ll delete the information.

Third parties we rely on

To be clear about who else touches data when you use the site:

  • Discord, when we look up public invite information.
  • Cloudflare, which sits in front of the site for security and performance.
  • Our hosting provider, which stores the site and its logs.
  • An analytics provider, if we enable privacy-friendly analytics.

Each of these only gets what’s necessary for its role. Clicking a Discord invite from a listing takes you to Discord, and from that point Discord’s policies apply, not ours.

Changes to this policy

Toopics is new and small, and this policy will change as the site does. When we make a meaningful change, such as adding analytics or a new third-party service, we’ll update this page. If a change affects how we handle submitted listings, we’ll also try to contact people at the email they gave us. Continuing to use the site after a change means you’re okay with the updated policy.

Contact

Questions, corrections or deletion requests can be sent through the contact details published on this site. We read everything and aim to reply promptly.
